Planning a Corporate Gala in Athens: Entertainment Timeline & Technical Checklist

A corporate gala can bring together many elements: speeches, awards, presentations, a dinner and a party, often for guests from several countries. Entertainment and technical production need to be planned as one timeline. This checklist covers what to confirm with your entertainment team.

Before the event

• Run of show: share the full timeline, from guest arrival to the last song, with exact cues for speeches and awards.
• Speakers and presentations: confirm how many people will be speaking, whether they need handheld or lapel microphones, and which presentations or videos need audio.
• Branding: logo projection or a branded DJ booth should be agreed in advance.
• Site visit: check power, access and load-in times with the venue.

Arrival and networking

Background music should set the tone without competing with conversation. Agree the style with your team: elegant and relaxed for a client event, more upbeat for a team celebration.

Speeches and awards

Clear speech audio matters more than anything else in this part of the evening. Walk-up music, award stingers and microphone handovers should be rehearsed, with one person giving the cues.

Dinner

Music at the right level, so guests can talk across the table. Zoned sound helps when the venue has several areas.

The party

The switch from formal to party is the key moment. A change of lighting, a clear opening track and, if you want a statement, cold sparks or a short show mark the shift.
